Calendar integrations (Google Calendar & Microsoft Outlook) ​

Joltuar reads your calendar so it can list your upcoming meetings, remind you before they start, and let you send its note-taking bot to join automatically — without you re-typing meeting names and links by hand. Google Calendar and Microsoft Outlook (Microsoft 365) work the same way in Joltuar; pick whichever your organization uses.

What it does ​

  • Lists your upcoming meetings under Coming up, with title, time, attendees and the detected video platform (Google Meet, Zoom, Teams).
  • Keeps that list fresh automatically (auto-sync), including picking up a reschedule or a cancellation within seconds of you changing it in your calendar.
  • Shows a small popup about a minute before a meeting starts, with a one-click Join button.
  • Lets you send Joltuar's meeting bot to a call — manually (Send bot) or automatically for every calendar meeting with a video link (Send bot automatically).

Google Calendar is connected read-only: Joltuar never creates, edits or deletes events there. Outlook is read-only too, with one exception you trigger yourself: you can ask the Joltuar assistant in chat to book a follow-up, and it adds that event to your Outlook calendar (and e-mails the invitees) only after you confirm the exact event on screen.

Who can connect ​

Each person connects their own calendar — this is a personal connection, not something a workspace owner sets up once for the whole team. Any Joltuar workspace member can connect their own Google or Outlook calendar; there's no special role required.

Prerequisites ​

  • A Google account (Workspace or personal Gmail) or a Microsoft 365 / Outlook account — whichever calendar you want Joltuar to read.
  • A Joltuar account you're signed into.

Connect your calendar ​

  1. In Joltuar, open your account menu (bottom of the sidebar) and choose Integrations.
  2. Find the Google Calendar or Microsoft Outlook card and click Connect.
  3. You're sent to Google's or Microsoft's own sign-in and consent screen. Review the permissions and approve.
  4. You're redirected back to Joltuar. The card now shows Connected, with an Auto-sync calendar toggle and a Sync now button underneath.

Auto-sync is on by default as soon as you connect — there's nothing else to turn on. Use Sync now any time you want to force an immediate refresh instead of waiting for the next automatic pass.

What data flows, and in which direction ​

Google/Outlook → Joltuar (read only): event title, start and end time, attendees, the meeting's video-call link and detected platform, and the event description (used as context for the AI). If your organization has enabled it, Joltuar can also look up attendee display names from your Google Workspace directory or your personal Google contacts, purely so a name shows up instead of a bare e-mail address in the meetings list.

Joltuar → Google/Outlook: nothing is written to Google Calendar — Joltuar only ever requests the read-only calendar scope. In Outlook, Joltuar writes only one thing, and only on request: when you ask the assistant in chat to book a follow-up, it shows you the event and adds it to your Outlook calendar (inviting the listed attendees) after you confirm. Joltuar never edits or deletes existing events.

Meetings you send Joltuar's bot to, or start the assistant for, are recorded and processed by Joltuar the same way any other Joltuar meeting is — see your organization's recording and retention settings for that part; connecting your calendar by itself does not record anything.

Sending the meeting bot from a calendar meeting ​

Once your calendar is connected and a meeting shows up under Coming up:

  • Click Send bot now on that meeting to send Joltuar's bot to join and transcribe it live.
  • Or turn on Invite bot automatically for a specific meeting (or Send bot automatically when adding a meeting manually) so Joltuar joins it the moment it starts, with nothing to click.

The bot only works with meetings that have a Google Meet, Zoom or Microsoft Teams link.

Permissions we request and why ​

Google Calendar ​

https://www.googleapis.com/auth/calendar.events.readonlyRead-only access to your calendar events — this is the only scope that lets Joltuar build your meetings list. Joltuar cannot create, edit or delete anything in your calendar with it.

If your organization has turned on attendee name resolution, Joltuar may additionally request https://www.googleapis.com/auth/directory.readonly (to look up names in your Google Workspace directory) and/or contacts.readonly / contacts.other.readonly (to look up names in your personal Google contacts). These are only used to display a real name instead of an e-mail address for people you meet with — never to read or store your contacts for any other purpose.

Microsoft Outlook ​

Disconnect ​

From Joltuar: Integrations → Google Calendar (or Microsoft Outlook) → Disconnect. This stops syncing immediately and deletes the stored connection; for Google, Joltuar also asks Google to revoke the token. For Outlook, remove Joltuar from your Microsoft account too (below) if you want the permission itself gone. Meetings already created from your calendar stay in Joltuar — they just stop updating from the calendar.

From Google: go to myaccount.google.com/permissions, find Joltuar under "Third-party apps with account access," and remove it.

From Microsoft: sign in at account.microsoft.com, open Privacy → Apps and services that can access your data (also reachable directly at account.microsoft.com/consent/Manage), find Joltuar, and remove access.

Removing access from Google's or Microsoft's side is enough on its own — Joltuar detects the revoked grant the next time it tries to sync and shows Reconnect on the card.
